Procurement Support Specialist
Our client is one of the largest global online travel and booking agencies. For their expansion in Amsterdam their currently looking for high potential individuals that are strong collaborators, willing to grow and learn.
In this role you will be part of a sub team within the Procurement department. You will be working closely with both Procurement and P2P teams as well as be a key support for both internal and external stakeholders regarding payment queries, new vendor registration, S2P & Procurement processes and how to navigate through our new Purchasing tool - Ivalua.
Furthermore, you will be supporting the business and vendors to ensure that they are registered in the new Purchasing tool - Ivalua, provide quality control over the database, and guidance to the stakeholders on S2P & Procurement processes, ensure they are compliant and paid on time.
Please note that this position will start as a temporary function for 7 months and will be evaluated after.
Responsibilities:
- Be in direct contact with the new and existing vendors for support and training on
the onboarding processes in the self-registration Purchasing tool - Ivalua. - Ensure all the stakeholders (buyers, approvers and vendors) understand the S2P/Procurement process. The goal is to ensure that all invoices and payment requests are authorized and paid on time according to company policies
- Support the business regarding PR/PO related queries by providing information via ticket and chats as well as regular and ad hoc training sessions.
- Work closely with vendors, AP team and PayOps team regarding overdue invoices and ensure resolution is provided in a timely manner and can be avoided in the future.
- Monitoring blocked invoices and ensuring invoices are being actioned and paid within the payment term.
- Act as a point of contact for performing analysis on specific areas of responsibility (vendor master data), regarding the progress, trends, deviations, exceptions etc.
- Continuous vendor master data management to ensure the data quality standards are met and adhere to internal control and compliance policies; collaborate with other departments to identify data errors and ensure data integrity.
- Dealing with a high volume of vendor master additions and changes in an accurate and timely manner on a daily basis.
Requirements:
- Several years experience in a operational position, support function or any other relevant function
- Strong communicator
- Strong team player
- Growth mindset
- Experience with ticketing systems like Zendesk, Ivalua etc
- Business proficiency in English both written and spoken
- Be able to start on the short term
